Mission orders and mission expenses · Public sector

From a tool people endure to a tool people adopt.

Mizio guides your staff from the mission order to the reimbursement: entry on mobile, controls that explain themselves, approval circuits you configure yourselves. A sovereign solution, hosted and operated in France.

  • Hosted in France
  • SAML SSO
  • Designed following the RGAA

The starting point

When the tool discourages, staff give up.

A confusing expenses tool is costly: some staff re-file on paper, others give up claiming altogether. Mizio starts from eight concrete pain points, and answers them one by one.

  • BeforeStaff re-file on paper, or give up on their reimbursement.

With MizioA guided journey, step by step, designed to be adopted.

  • BeforeA tool that only works on a desktop computer.

With MizioA responsive web application and a mobile application.

  • BeforeReceipts that can only be attached at the very end.

With MizioThe receipt is photographed when the expense happens, then read by OCR.

  • BeforeAn org chart and approvers kept up to date by hand.

With MizioAccounts, org chart and circuits synchronised from your HR system.

  • BeforeTraining and staff-representative expenses still handled on paper.

With MizioA dedicated circuit per request type: mission, training and competitive exams, mandate expenses, staff representatives.

  • BeforeControls carried out by hand, claim after claim.

With MizioAutomatic blocking controls that always explain why.

  • BeforeNo way to extract the data.

With MizioExtractions and dashboards to steer the activity.

  • BeforeDistances recalculated in an external distance tool.

With MizioThe door-to-door distance, calculated from the administrative residence via the IGN Géoplateforme.

The end-to-end journey

Four steps, one thread.

From the travel request to the payment run, each step builds on the previous one. Nothing is keyed in twice.

  1. Step 1

    Mission order

The staff member describes the trip: dates, place, purpose, means of transport.

    Automated

    • Detection of overlapping mission orders
    • Check against absences from the time-management system
    • Door-to-door distance calculated via the IGN
  2. Step 2

    Approval

The circuit depends on the request type. The manager decides from a computer or a phone.

    Automated

    • Circuit applied according to the request type
    • Delegation during absences
    • Bulk approval
  3. Step 3

    Expense claim

Back from the trip, the staff member attaches expenses to the approved order. One order can carry several claims, and one claim several orders.

    Automated

    • Receipts photographed and read by OCR
    • Mileage scale based on the kilometres cumulated over the year
    • Flat rate or actual costs, lunch or dinner
  4. Step 4

    Control and payroll

Officers check, refuse a line if needed, then hand over to payroll.

    Automated

    • Detection of duplicate receipts
    • Partial refusal, line by line, with an automatic message
    • Payroll export by heading and month, supporting bundle for the treasury

Features

What Mizio actually does.

Every feature answers a precise business requirement. Nothing decorative.

  • Blocking controls, always explained

Overlapping mission orders, an absence recorded in the time-management system: the request is blocked, and the staff member knows why.

  • Receipts photographed, read by OCR

The staff member photographs the ticket. Fields are pre-filled by an OCR service operated in Paris (AWS Textract).

  • Door-to-door distance

Calculated from the administrative residence with the IGN Géoplateforme, a French State service. No more external distance tool.

  • Public-service scales

Mileage allowances by band of kilometres cumulated over the year. Flat rate or actual costs. Lunch or dinner.

  • Configurable approval circuits

One circuit per request type. Bulk approval, delegation during an absence, filing by the manager on behalf of a team member.

  • Partial refusal and duplicate detection

The officer refuses one line without rejecting the claim; the staff member receives an automatic message. The same toll ticket claimed by two car-poolers is spotted.

  • Yearly documents and reminders

Driving licence, registration certificate, insurance, authorisation to drive: Mizio sends reminders automatically before the expiry date.

  • Payroll export and supporting bundle

An export by payroll heading and month, in the format your payroll software expects, and a bundle of supporting documents for the treasury.

  • Extractions and dashboards

Mission and expense data can be extracted and followed in dashboards, so you steer instead of compiling.

A tool for every profile

Everyone sees what concerns them.

Eight user categories, one fine-grained rights matrix. Nobody sees more than necessary.

Claim your expenses without losing your evening.

  • Create a mission order in a few guided steps.
  • Photograph your receipts as the trip goes on.
  • Follow each claim: draft, pending, approved, sent to payroll, paid.
  • Understand every block: the control always explains its reason.

Configurable without development

Business rules are settings, not code.

Your organisation changes, and so do the regulations. Your administrators adapt Mizio themselves, without waiting for a development.

  • Approval circuits

Steps, approvers and delegations, for each request type.

  • Scales

Mileage allowances and flat rates, updated at every regulatory change.

  • Administrative residences

The starting point of the distance calculation.

  • Profiles and permissions

A fine-grained rights matrix, for eight user categories.

  • Deadlines

Filing, approval and reminder deadlines, according to your internal rules.

Sovereignty and security

Your data stays in France.

Data, backups and processing are hosted and operated in France. Mizio follows the guidance of ANSSI and the CNIL.

  • 100% France

Hosting, backups and processing — OCR included — in the AWS Paris region (eu-west-3).

  • SAML 2.0 SSO, no password

Your staff authenticate with your directory (SAML 2.0 / ADFS). Mizio stores no password.

  • Full audit trail

Every action is traced. The log can be exported to your SIEM.

  • Encryption

Exchanges are encrypted in transit (TLS). Data is encrypted at rest.

  • Probative value

Each receipt is deposited with a digital fingerprint and a timestamp, chained to reveal any alteration.

  • GDPR: a processor’s posture

Cloudevia acts as a processor within the meaning of the GDPR. You remain the controller, and in charge of your data.

The hosting infrastructure (AWS Paris region) holds ISO/IEC 27001, 27017 and 27018 certifications and SOC attestations. These certifications belong to the hosting provider, not to Cloudevia.

Your staff and managers connect over HTTPS, from a browser or the mobile application. Authentication is delegated to your directory, using SAML 2.0. The application, the database, the receipts, the OCR and the backups are operated in France, in the AWS Paris region. Mizio queries the IGN Géoplateforme for distances, exchanges with your HR system, your time-management system and your payroll, and exports its audit trail to your SIEM.

System interfaces

Mizio talks to your information system.

Inbound and outbound interfaces, so nothing is keyed in twice.

  • HR system

Accounts, org chart and approval circuits synchronised.

  • Time management

Absences are checked as soon as the mission order is created.

  • Payroll

Export by payroll heading and month, for example in the format SEDIT expects.

  • Training

Requests linked to training and competitive exams follow a dedicated circuit, with your training department.

  • Treasury

A bundle of supporting documents, ready to go with the payment run.

  • Business intelligence

Extractions usable in your business-intelligence tool, for example Business Objects.

SEDIT and Business Objects are cited as examples of systems that Mizio can feed. These trademarks belong to their respective owners.

Mobile application

The receipt, photographed when the expense happens.

No more tickets lost at the bottom of a bag. The staff member photographs, checks, confirms.

  1. Photograph the receipt.

  2. OCR pre-fills the type, the date and the amount.

  3. Attach the expense to the approved mission order.

Managers approve from their phone too.

Digital sobriety

Less paper, fewer bytes.

A digital service can be both useful and frugal.

  • The end of paper

Mission orders, receipts, approvals, bundles: the whole circuit is paperless.

  • Eco-design

Light screens, with no advertising tracker. This site follows the same rule: no request to a third party, illustrations in HTML and CSS rather than images.

  • Indicative CO2e report

Mizio estimates the CO2e emissions of trips, as an indication, to inform your mobility choices.

Frequently asked questions

Straight answers.

A question is missing? Write to us: contact@mizio.fr.

Where is our data hosted?

In France. Data, backups and processing — including the reading of receipts by OCR — are operated in the AWS Paris region (eu-west-3). Distance calculation relies on the IGN Géoplateforme, a French State service. The hosting infrastructure holds ISO/IEC 27001, 27017 and 27018 certifications and SOC attestations: they belong to the hosting provider, not to Cloudevia.

Do we need to create passwords?

No. Your staff sign in with their usual account, through your identity provider (SAML 2.0 SSO, ADFS for example). Mizio stores no password.

Can we change our approval circuits ourselves?

Yes. Circuits are configured per request type — mission, training and competitive exams, mandate expenses, staff representatives — without any development. The same goes for scales, administrative residences, permissions and deadlines.

How does the takeover of existing data work?

Accounts, the org chart and circuits are not keyed in again: they are synchronised from your HR system. Scales and administrative residences are configured at go-live. The scope of historical data to take over — claims in progress, kilometres cumulated over the year — is defined with you during project scoping.

Is Mizio accessible to people with disabilities?

Mizio is designed following the RGAA: keyboard navigation, contrast, statuses that never rely on colour alone, respect for motion preferences. A conformity statement is published for each deployment. We announce no conformity rate until an audit has established one.

How does Mizio feed our payroll?

Through an export organised by payroll heading and month, in the format your software expects — SEDIT for example. A bundle of supporting documents goes with the export, for the treasury.

What happens when a control blocks a request?

The staff member is told straight away, and the message explains the reason: another mission order on the same dates, an absence recorded in the time-management system… They correct the request without waiting for an officer to come back to them.

How much does Mizio cost?

There is no public price list. The quote depends on your scope: number of staff, interfaces to set up, support required. Request a demo: we prepare a quote based on your context.
